Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong clerical skills, excellent communication abilities, and proficiency in various software tools. This role involves managing administrative tasks, providing exceptional customer service, and ensuring the smooth functioning of daily office activities. Prior experience in maintaining accurate financial records for an organization. Day-to-day financial transactions recording and ensuring that all accounts are balanced and up to date., along with familiarity with QuickBooks, Microsoft Office, and Google Workspace.

Responsibilities

  • Perform data entry and maintain accurate records using Microsoft Office and Google Workspace applications
  • Manage multi-line phone systems, answer inquiries, and direct calls professionally with proper phone etiquette
  • Handle front desk duties including greeting visitors, scheduling appointments, and managing patient or client check-ins
  • Organize and file documents both electronically and physically to ensure easy retrieval
  • Assist with bookkeeping tasks using QuickBooks and other accounting software
  • Record daily financial transactions (sales, purchases, receipts, payments) in accounting software or ledgers
  • Maintain and reconcile general ledger accounts
  • Process accounts payable and accounts receivable
  • Prepare and send invoices; follow up on outstanding payments
  • Reconcile bank and credit card statements monthly
  • Process payroll and maintain related records
  • Prepare basic financial reports (balance sheets, income statements, cash flow)
  • Assist with budget preparation and monitoring
  • File GST/HST, payroll taxes, and other government remittances
  • Maintain organized and accurate financial filing systems
  • Support accountants or auditors during year-end or audits

Requirements

  • Proven experience in an administrative or clerical role, preferably within medical or dental offices
  • Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tasks
  • Experience with QuickBooks and bookkeeping is highly desirable
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
  • Exceptional customer service skills with professional phone etiquette
  • Ability to proofread documents accurately and maintain attention to detail
  • Prior experience working at a front desk or handling multi-line phone systems preferred
  • Strong typing skills with a focus on accuracy and speed
  • Knowledge of medical or dental office procedures is a plus but not required
